The platform

Track. Remind. Prove.

Three jobs, done completely — so a lapsed credential never surprises you again.

Track

Every license, CPR, and cert in one staff profile — pre-loaded with the credentials behavioral health actually uses: clinical licenses, teacher certification, TB, CE hours, background-check dates, and crisis-intervention certs like CPI, TCI, Handle With Care, and Mandt.

Remind

Automatic email reminders at 90, 60, 30, and 7 days. If a renewal goes unresolved, the supervisor is notified — then HR — and the risk surfaces on the executive dashboard. Nothing lapses quietly.

Prove

When a surveyor walks in, generate an inspection-ready audit binder in one click — current CPR, current licenses, background-check dates, and a full compliance summary.

Hiring readiness

Always know who's cleared to work.

Every staff member has a live status. When a required credential expires, iphemy automatically flips them to Not Cleared to Work — so no one slips through.

Roles

Everyone sees exactly what they should.

Employee

Sees their own credentials, uploads renewals from their phone, and gets reminders. Can't edit dates or approve themselves.

Supervisor

Sees their direct reports and team compliance, and receives escalations when a renewal slips.

HR Administrator

Manages everything — new hires via Position Templates, terminations, upload approvals, credential types, reminder schedules, and reports.

Executive Director

A read-only, organization-wide compliance dashboard — with one-click Export to Excel before leadership meetings.

For staff

Renewing takes about a minute.

1 · Get a reminder

An email arrives well before your credential expires.

2 · Snap a photo & upload

Open the staff portal, upload your renewed card, and enter the new date.

3 · HR approves — you're current

HR confirms it and your status turns green. Nothing counts until it's verified.

Questions, answered.

Does iphemy store patient or child data? +
No — staff credentials only. iphemy never stores patient, client, or child data, Social Security numbers, background-check reports, medical records, or payroll data.
What can iphemy track? +
Any credential with an expiration date: professional licenses (RN, LCSW, LPC and more), CPR and First Aid, TB screenings, teacher certifications, CE hours, background-check renewal dates, and crisis-intervention certifications like CPI, TCI, Handle With Care, and Mandt. Credential types are fully configurable.
How do reminders and escalation work? +
Staff get automatic email reminders at 90, 60, 30, and 7 days before a credential expires. If a renewal goes unresolved, the supervisor is notified — then HR — and the risk surfaces on the executive dashboard.
What happens when a required credential expires? +
The staff member's status automatically flips to "Not Cleared to Work" and is flagged for HR and leadership — so you always know exactly who can be on the floor today.
